In our "cozy office" in Essen, we take care of all the crewing activities: crew planning, certifications and complience, general HR-matters and crew change/operations.

To strengthen our Crew Operations Department, we are looking for a Crew Operations Coördinator.

Job Description

As a Crew Operations Coordinator, you play a key role in the smooth mobilization and demobilization of our offshore personnel. You ensure that all travel, documentation and logistics are correctly arranged, and that crew members receive clear and timely information.

 

You work closely with vessel teams, port agents, service providers and internal departments.

We are looking for someone who is confident, stress-resistant and able to communicate assertively yet diplomatically. You must be comfortable taking ownership of your planning, speaking up when needed and keeping oversight during busy operational periods.

This position is suitable for Junior to Medior talent: either you are starting your career in crew logistics, or you already have several years of experience and are ready for more responsibility.

Your Responsibilities

  • Coordinate all crew changes (onshore and occasionally offshore).
  • Participate in project handover meetings and readiness reviews; translate outcomes into clear logistics and planning actions.
  • Prepare and distribute joining instructions for crew.
  • Organise travel, visas, medicals and logistics together with internal departments and external agents.
  • Verify crew documentation (passports, visas, certificates) before each crew change.
  • Handle day-to-day crew queries and change requests.
  • Coordinate with service providers (e.g., helicopter operators, crew boats) and create accurate logistics requests.
  • Prepare and share helicopter planning sheets and manage heli-suit requirements.
  • Upload and maintain accurate planning sheets in our systems.
  • Conduct daily update calls with vessel Catering Managers.
  • Check and validate invoices from agents and logistics partners.
  • Attend After-Action Review meetings and provide meaningful input for improvements.

Education & Experience

Education & Skills

  • Bachelor’s or MBO degree, or equivalent experience.
  • Relevant experience in crew logistics, travel coordination, workforce/resource planning or similar.
  • Ability to stay calm under pressure and meet strict deadlines.
  • Confident communicator: assertive when necessary and diplomatic at all times.
  • Strong organisational and planning skills.
  • Able to prioritise effectively and take ownership of your tasks.
  • Good command of English (spoken and written).
